The Articles of Incorporation

Division of Condensed Matter Physics in the Association of Asia-Pacific Physical Societies

Chapter 1 General Provisions

(Name)
Article 1
The Division of the Association of Asia-Pacific Physical Societies(AAPPS) shall be called the Division of Condensed Matter Physics,
in short and hereafter called “DCMP.”

(Office)
Article 2
The DCMP is established as a voluntary organization and will be transferred to a General Incorporated Association in 6 years. At the time of the founding,
the principal office will be placed in the chair's institution or the place determined by the executive committee(EXCO) defined by Article 21. The principal
office will be re-registered in accordance with the transfer to a General Incorporated Association.

Chapter 2 Purpose and Business

(Purpose)
Article 3
The DCMP will promote the progress of condensed matter physics in the regions and the member societies. It will also disseminate the knowledge and its
application through research presentations, knowledge exchange, and corporation among members and other academic societies. We thereby aim to
contribute to the development of academic research.

(Business)

The DCMP will operate the following business to achieve purposes set in Article 3.

(Code of conduct)

Activities conducted by the DCMP should satisfy the following criteria under the rule of the AAPPS.

(1)It must contribute to the promotion of physics in the Asia and Pacific regions. In case it is held outside the region covered by the Association,
members of the Association's member societies must be treated on the same footing as the members of the main organizing body.
(2)It must be organized in such a way to carry out and communicate scientific works with integrity, respect, fairness, trustworthiness, and transparency.
(3)It must be free from discrimination based on such factors as ethnic origin, religion, citizenship, language, political or other opinions, gender,
sexual orientation, or disability.
(4)It must not receive financial support and/or in-kind contribution from any military-related fund or organization, nor serve for any military purpose.
(Gender equality)

Article 6
The DCMP shall give due consideration to gender equality in its actions and the composition of committees.
(Notification)

Notification on this DCMP is an electronic notice.

Chapter 3 Members

(Member composition of the DCMP)

The DCMP has the following types of members.

(Liability for Expenses)
Article 9
Regular member bears the responsibility for payment of expenses to this DCMP when the membership fee is determined as a General Incorporated
Association. The membership is free, while the DCMP is a voluntary organization(non-General Incorporated Association).

(Withdrawal)
Article 10
Any member can withdraw with immediate effect from the DCMP anytime by submitting a notice of withdrawal as specified by the EXCO.

(Expulsion)

Article 11
A member might be excluded if the EXCO judged that the member hurts the honor of this Society.
(Termination of membership)
Article 12
In addition to the previous two articles, membership will be terminated following cases on the date of notice:

This DCMP shall prepare a registry of members.
The founding members are those who participated in the founding meeting of the DCMP and are listed in article 41.

Chapter 4 General Assembly

(1) General assembly is composed of all regular members.
(2) The general assembly set in the Association Act is this general assembly.

General assembly adopts resolutions on the following matters.

Chairperson of the general assembly shall be a member of the EXCO and be appointed by the chair of the DCMP

(Voting Right)

Each regular member shall have one vote at the general assembly.

Minutes of the general assembly shall be prepared and be open for regular members of the DCMP.

Chapter 5 Executive Committee

The EXCO shall execute the following businesses in addition to business set in other Articles of incorporation.
(1) The determination of the business;
(2) The supervision of the duties of officers;
(3) The selection and dismissal of the chair, vice-chairs, and auditors
(4) Formation and appointing of subcommittee and/or working groups for specific purposes.

The minutes shall be prepared according to the related law provisions and be signed by the chair and auditors present at the EXCO.

Chapter 6 Officer

This DCMP shall have the following officers.

Offices shall be elected by the EXCO meeting and shall be approved by the General Assembly.

Officers shall have no remuneration.

(Dismissal)
Article 33

Officers may be dismissed at any time by resolution of the general assembly. Dismissal of the auditor shall be effected by at least a two-thirds majority of
the votes of all regular members and with a quorum of at least one-half of the total number of regular members.

Chapter 7 Assets and Accounting

A business year of the DCMP starts on 1st January and ends on 31st of December.

The first business year of the DCMP shall be from the date of foundation to December 31, 2021.
